SERVICE ADMINISTRATOR / DISPATCHER – Evansville IN, London KY, Bowling Green KY

Job Summary

Black Equipment is seeking a motivated, organized, and customer-focused Service Dispatcher to join our team. The right candidate will be a strong communicator, quick thinker, and team player who is committed to getting our customers’ equipment repaired as quickly as possible and never letting them down on communication.

  • Receive and log incoming service requests from customers via phone, email, or portal; create and prioritize work orders based on urgency and customer needs
  • Dispatch and schedule shop and field technicians daily, balancing workload, travel time, skill sets, and parts availability to minimize customer downtime
  • Provide real-time support and communication to field technicians regarding job details, route changes, parts needs, and technical questions so repairs can be completed efficiently
  • Coordinate with the Parts Department to confirm parts availability and arrange for parts to be ready for technicians before jobs begin
  • Proactively communicate with customers – providing timely status updates, realistic ETAs, and follow-up on open jobs so they are never left in the dark
  • Take ownership of open repair orders; monitor job progress throughout the day and take action to prevent delays or resolve issues that could keep equipment down longer than necessary
  • Open, update, and close repair orders accurately and in a timely manner within the service management system
  • Monitor job progress throughout the day and adjust schedules proactively when priorities shift or emergencies arise
  • Identify opportunities to recommend preventive maintenance or additional services to customers when appropriate
  • Work closely with the Field Service Manager and team leads to align daily priorities and resource allocation
  • Maintain accurate records, documentation, and a clean, organized dispatch/office area
  • Perform other duties as assigned by management
  • Strong organizational skills and the ability to manage multiple tasks and shifting priorities in a fast-paced environment
  • Excellent verbal and written communication skills; comfortable managing high call volume and providing clear, proactive updates to both customers and technicians
  • Proficient with Microsoft Office (especially Excel and Outlook); experience with service management, dispatching, or ERP software is a plus
  • Previous experience in dispatching, scheduling, or service coordination (field service, equipment, automotive, or similar industries preferred)
  • Strong sense of ownership – committed to not letting customers down and ensuring equipment gets repaired as quickly as possible
  • Ability to remain calm, think clearly, and make sound decisions under pressure
  • Mechanical aptitude or familiarity with forklifts and material handling equipment is a plus
  • Team-oriented with a strong customer service mindset.
